User management field reference

The following table describes the fields related to adding or managing InsuranceNow users.

Field Description
User Code Name the user must enter in the User Name field when logging in to InsuranceNow. Case insensitive. Spaces are not allowed.
User Type Classification of users based on their roles and responsibilities within InsuranceNow. Examples include Company, Producer, Provider, Guest. Some options prompt for additional information by opening an Additional User Information panel below the User Maintenance panel. For more information, see User types.
Concurrent Sessions Number of sessions the user is allowed to open at one time. A session is a log in from a new browser instance or a browser on a different computer. Subsequent log ins from new tabs in an existing browser instance are allowed and do not count as multiple sessions.
Note: A value of 0 has a special meaning. When set to 0, InsuranceNow does not enforce any limits on the number of concurrent sessions for the user, and does not update the user's activity information. Set this field to 0 only for specific situations, such as:
  • The user is an API caller. API callers use a single, predefined user for all their requests, and don't use a browser for sessions.
  • The user wants improved concurrency and performance under a heavy load of integrations.

Set this value to 0 for API (machine) users.

Set this value to non-zero for human users; otherwise, users will not see Recent Activity updates and no entries in the Recent List panel.

Status Indicates the current state of a user within the system. Examples include Active, On Leave, Terminated. Selecting a status other than Active enables you to keep inactive users in InsuranceNow while blocking their access.
Language Preferred language of the user.
First Name Full first name of the user.
Last Name Full last name of the user.
Date Terminated/On Leave Ensures that the system accurately records the date when the user was either terminated or placed on leave, which is crucial for managing user access and maintaining accurate records. Appears only when Status is set to Terminated or On Leave. When visible, an entry is required in this field and the date must be no later than the current date.
Note: If you entere a future date, InsuranceNow will display an error when attempting to save the record
Supervisor Code User name of this user’s supervisor. If needed, SearchMagnifying glass icon opens a User Search window where you can search by user code, first name, or last name. To clear the Supervisor Code, click UI control Eraser icon.
Toolbar Search Mode Allows you to specify the type of search functionality available in the toolbar for a user. The following options are available:
  • None: Default for users who do not need either of the other search modes.
  • Insured: Searching an insured’s name goes directly to the Customer Policy List window with the matching Insureds selected.
  • Claimant: Searching a claimant’s name goes directly to the Customer Claim List window with the matching claimants selected.
Password fields Select the User Must Change Password on Next Login check box to require the user to set their own password after you set or change it here.

InsuranceNow does not validate the password you enter on this page against the selected password policy template, but does so when the user changes their password.

Possible Password Templates Lists the requirements for passwords for each Password Policy template. The policy for Exempt Users is less restrictive than the policy for Standard Users. The API Users policy is intended for non-human access to InsuranceNow.

Standard Users
Users whose password must meet your organization's security requirements. Guidewire strongly recommends that you assign Standard User policy to all non-API users and configure Standard User password requirements to use a strong password that periodically expires.
Exempt Users
Users whose password need not meet the same criteria as Standard Users. Guidewire recommends that you apply Exempt Users policy only in development environments. Because the Exempt Users policy is generally not recommended, InsuranceNow displays a warning message when you select this option and when you click Save after making changes to an existing user profile
API Users
Special accounts intended for API and system access. These accounts do not need to log in to the InsuranceNow web application, but typically are configured so that their passwords do not expire, which would cause unexpected service interruptions.
Note: Password policy is not enforced when an administrator creates or changes the user profile.
